Privacy Notice
This notice explains what information myTAXfile.now collects, how it is used, and the choices you have. We have written it to describe what actually happens today — not what we plan to build.

1. Who we are
myTAXfile.now provides guided tax filing services for individuals, small businesses, and real estate investors. We currently serve Washington, California, New York, Illinois, Texas, and Florida, with additional states planned.
This notice applies to the public website at mytaxfile.now. It will also apply to the personal account described below once that system is available.

This website does not collect personal information from you. As of the effective date above, the public pages of mytaxfile.now contain:
- no forms, no fields, and no login;
- no cookies;
- no analytics, tracking pixels, advertising tags, or session recording;
- no embedded third-party content, fonts, or scripts loaded from other companies.
You can read every page on this site without giving us any information about yourself.
Our website is hosted by a third-party hosting provider. Like most web hosts, the provider may automatically record standard technical information such as IP address, browser type, and pages requested, for the purpose of serving the site and maintaining its security.

3. Information collected after you start a service
These services are not yet available. The personal account, secure document upload, electronic signature, and payment features described below are planned and are not operating today. This section describes how they are intended to work so you know what to expect.
When those services become available, and only if you choose to use them, we expect to collect:
- Contact information — your name, email address, optional phone number, and the state where you file.
- Account information — your login credentials and account settings.
- Service information — a description of your tax situation, the services you request, and messages you send us.
- Tax information and documents — the records needed to prepare and review your return, which you would upload through your personal account rather than through this public website.
- Billing information — invoices and payment records. Card details would be handled by a payment provider, not stored by us.
We ask only for what is needed to provide the service you request.
4. Sending documents safely
To protect your information, please do not send sensitive documents through this public page or regular email. After you start, you can securely upload documents from your personal account. We may also provide a secure upload link in your confirmation email.
Personal accounts and secure upload are launching soon.Ordinary email is not a secure channel. Please do not send Social Security numbers, tax documents, bank details, identity documents, or passwords by email, and do not attempt to submit them through this public website — there is nowhere on these pages to enter them, and we do not want to receive them this way.
Until the personal account is available, we will tell you directly how to share documents safely when your service begins.
5. Cookies, analytics, and similar technologies
This website uses none. We do not set cookies, we do not run analytics, and we do not use advertising or tracking technologies on these public pages.
A future personal account will likely need a strictly necessary cookie or similar mechanism to keep you signed in securely. We will describe that here before the account launches.
6. How we use information
When you provide information to us, we use it to:
- respond to your request and explain the next step;
- determine which services may fit your situation and prepare an estimate;
- prepare, review, and file your return;
- communicate with you about your matter;
- issue invoices and process payment;
- keep records we are required to keep; and
- maintain the security and integrity of our systems.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
Tax preparers are subject to specific federal restrictions on the disclosure and use of taxpayer information. The permitted uses stated above must be reviewed against those requirements, and consent language may be required for any use beyond preparing your return.7. How information is shared
We share information only as needed to deliver the service, and only with:
- The professionals working on your matter — the preparer assigned to you, and the CPA, enrolled agent, or attorney assigned to review it. Each professional receives only the records their role requires.
- Tax authorities — the IRS and applicable state agencies, when we file on your behalf.
- Service providers — see the next section.
- When required by law — in response to a valid legal process, or to protect rights and safety.
We do not share your information with anyone else without your permission.
Our access to your records. To operate the service, meet our record-keeping obligations, and respond to legal requirements, authorized personnel may access, restore, export, or archive records associated with your matter. Access is limited to those whose role requires it and is recorded. Where professional confidentiality or attorney-client privilege applies, those protections continue to apply.
8. Service providers
We rely on outside companies for parts of the service — for example website hosting, and in future, document storage, electronic signature, payment processing, and email delivery. These providers may handle information on our behalf and are expected to be bound by confidentiality and security obligations.

Protecting client information is central to how we are building this service. Our design requires role-based access limited to what each person's job needs, individual accounts with multi-factor authentication, encryption of information in transit and at rest, recorded access history, malware scanning of uploaded files, and controlled retention.
We describe these as design requirements rather than completed safeguards. The systems that would implement them are not yet built. We will not claim a specific security standard, certification, or compliance status on this website until it has been independently verified.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Before publication, this section must be verified against the architecture as actually implemented. No claim about encryption strength, security grade, certification, or regulatory compliance may be published until confirmed.10. Retention and archiving
Tax records must be kept for a period of time to meet professional obligations and legal requirements, and so that we can support you if a question arises about a prior year.
Our approach is to archive rather than delete. Archived records remain retrievable and intact. Clients, staff, and professionals cannot permanently erase records from the system. Permanent disposition is reserved to a narrowly limited administrative role, under an approved retention schedule and with more than one authorization.
Some information cannot be deleted on request where we are legally required to retain it.

You may contact us to ask what information we hold about you, to correct inaccurate information, to obtain a copy, or to ask us to restrict certain uses. We will respond as required by the law that applies to you.
Depending on where you live, you may have additional rights. Because we serve clients in several states, the rights available to you may differ by state.
State-specific privacy rights, verification procedures, response deadlines, appeal rights, and any authorized-agent process must be reviewed by qualified privacy counsel and stated explicitly here. California is among our launch states, and additional obligations are likely to apply.12. Children's privacy
Our services are intended for adults. This website is not directed to children, and we do not knowingly collect personal information from children through it.
A tax return may include information about a dependent child that you provide as part of your own filing. We treat that information as part of your tax records, subject to this notice.
13. Changes to this notice
We will update this notice when our practices change — in particular before the personal account, document upload, electronic signature, or payment features become available. When we make a material change, we will revise the "Last revised" date at the top of this page.
We will not begin collecting a new category of information before updating this notice.
